The Benefits of Health and Safety Management in the Workplace

Introduction

Health and safety management is an important part of a company’s operating structure and aims to provide a safe working environment for employees, clients and visitors. Effective health and safety management systems focus on minimising risks, preventing accidents, reducing workplace-related illnesses and ensuring compliance with legal standards. As organisations grow and industries become more complex, the benefits of implementing rigorous health and safety management systems become more evident. This case study explores the benefits of health and safety management with a specific focus on Labournet’s comprehensive consulting service.

About Labournet Health & Safety

The Labournet Health and Safety division provides consulting services to over 1,200 companies across South Africa. The service focuses on assisting companies in meeting their obligations in terms of the Occupational Health and Safety Act (OHS Act) and Regulations. There are two phases to the project the first being the implementation of the management system, which typically takes between 9 and 12 months. Thereafter, our clients move onto the managed service phase, where we provide ongoing support and maintenance.

During the implementation phase, we follow a 16-step implementation process. The steps include:

    1. Project clarification meeting
    2. Presentation of provisional health and safety management system
    3. Appointment letters as per OHS Act & Regulations
    4. Health & Safety training
    5. Establishment of a health and safety committee
    6. Developing a baseline risk assessment
    7. Implementing the continuous risk assessment framework
    8. Developing a site emergency plan
    9. Identifying the required firefighting equipment
    10. Implementation of the first aid system
    11. Control of hazardous chemical agents
    12. Reporting and recording of incidents
    13. Approved inspection authority
    14. Legal compliance audit
    15. Visual representation of workplace
    16. Management review

During this phase of the project, we consider the risk profile and size of the business. The main purpose is to build a documented health and safety management system for the client that becomes a core part of their business operations. We assist with the identification of key individuals within the business to assume certain health and safety responsibilities, such as the health and safety representatives, risk assessor(s) first aiders and incident investigator(s). Further to this, we allocate roles and responsibilities to key management personnel given the importance of management’s commitment to overall health and safety compliance.

During the managed service phase, we include other risk factors such as contractor management and ergonomics. The ergonomics regulations are relatively new and are being enforced by the DEL. Health and safety management is dynamic and too many companies believe that once they have completed the implementation phase they are compliant and will remain compliant. Whilst their documentation will need to be updated on a regular basis, it is the physical environment that changes and accordingly, risk assessments need be reviewed, along with emergency preparedness and plans. Further to this, the Labournet consultant will facilitate the committee meetings, which need to take place quarterly and assist in the case of a DEL inspection or major incident.

Client documents are saved in SharePoint and on site depending on the needs of the client. This makes them accessible to both the client and consultant when required. The consultant is able to access them remotely and can ensure that the documents are updated without having to be onsite.

Conclusion

The benefits of health and safety management are vast and multifaceted, encompassing financial, social, legal, and operational advantages. Organizations that invest in robust health and safety programs can expect to see reduced costs related to accidents, increased employee morale and productivity. Moreover, the creation of a culture of safety and continuous improvement leads to long-term gains, not only in safety outcomes but also in overall organizational performance.

The integration of technology and a focus on continuous improvement will be key drivers in advancing health and safety practices in the future. In the end, the most successful organisations will be those that recognize that protecting the health and safety of their employees is not just a regulatory requirement but a fundamental component of achieving sustainable success.
