“Only minimal personal information should be collected for a specific purpose,” says Tlakula. For gated communities, this means just the driver’s name, registration number, and vehicle colour are required for security purposes. Anything beyond this—like scanning a license disc with a person’s home address and ID number—is considered overprocessing.
What Are the Dangers of Overprocessing?
Overprocessing can lead to significant risks:
- Data Breaches: Sensitive information, such as ID numbers and home addresses, can fall into the wrong hands if not properly secured.
- Legal Penalties: Non-compliance with POPIA can result in heavy fines and reputational damage for your business.
- Security Risks: Even if something like a car theft occurs, Tlakula points out that this personal data isn’t necessary for resolution, and must still be reported to authorities.

In response to these issues, the Information Regulator is planning to implement new regulations specifically for the security industry. A Code of Conduct will soon be issued to guide how security services collect and protect personal data, ensuring compliance with POPIA.
